Your privacy is important to us. We want to process your personal data in an honest, lawful, correct, and transparent manner. In this document, our privacy policy, we explain how the processing takes place and which personal data is involved. The term processing includes, among other things, collecting, recording, organizing, storing, updating, modifying, retrieving, consulting, using, distributing or making available in any way, aggregating, combining, archiving, deleting, or ultimately destroying.

We recommend that you read this document carefully so that you know why and for what purposes we process your personal data. You will also find your rights and how you can exercise them.
We also explain which personal data we process when you:

• receives our promotions, brochures, or newsletters
• visits our website
• asks questions via our website
• visits our company, trade fairs and events
• hands over your business card

2. Jouw recht op privacy
You have numerous rights regarding the processing of your personal data. The exercise of your rights within our systems and procedures will take place no later than 30 days after we have received your request. Should this deadline not be met for any reason, we will inform you before the original period expires.
2.1 You may view your personal data
You have the right to access the personal data we process about you, the purpose of the processing, where we obtained the data, and who receives the data. In this case, you can also be informed how long we retain the data, whether the data is used for automated decision-making, and whether we intend to transfer the data to a country outside the European Union. We will provide you with the requested information in writing or electronically within a reasonable timeframe.
2.2 You can have your data corrected/completed
It may happen that the data we process about you is not (or no longer) correct. You can always request that incorrect data be corrected or supplemented with missing data.
2.3 Right to erasure
If you believe that we are processing personal data unlawfully, you may request that this personal data be erased. This request for the erasure of personal data may be refused by Avonture D. Management BV if this is justified. Examples include exercising or substantiating a legal claim or due to a statutory obligation to retain certain data.
2.4 Right to restriction of personal data
You may ask us to restrict the processing of your personal data if you suspect that the data is inaccurate, the processing is unlawful, or if you do not agree to us processing the data based on our legitimate interest (see Article 3.3). We will comply with this objection unless there are compelling reasons not to do so, for example to prevent fraud or non-payment.
2.5 Right to lodge an objection
You have the right to object to the processing of your personal data, including profiling. Processing will then be stopped, unless processing is necessary for compliance with social and tax legislation, to protect the interests of a third party, or for the establishment, exercise, or defence of a legal claim.
2.6. Right to data portability
You can contact us to request that the personal data you have provided to us be transferred to a third party.
2.7. Right to lodge a complaint
If you do not agree with our position, you can contact the Belgian Data Protection Authority. You can also file a complaint there. You can find the contact details above in point 1.4.
2.8 Identification of the applicant
You may exercise your rights regarding the processing of your personal data subject to a written request:

Always be as specific as possible when you wish to exercise your rights. This allows us to process your application correctly. To prevent someone else from exercising your rights, we want to verify your identity as thoroughly as possible. Therefore, the application must always be accompanied by a document proving that the applicant's identity matches your identity. This can be done by attaching a copy of your identity card to the application. Please black out your passport photo and identity card number (etc.) to protect your privacy. If we determine that the submitted document provides insufficient proof, we will inform you. We reserve the right not to process the application until sufficient proof is provided.
3. Waarom willen we jouw gegevens verwerken?
3.1 Avonture D. Management BV must comply with legal obligations
In some cases, we are legally obliged to process your personal data. Below we list the most important ones:
• tax law
• commercial law
• It is possible that we may be required to provide personal data to authorities or other third parties. For example, if this is necessary in connection with a legal obligation or for the performance of a task of public interest.
3.2 Avonture D. Management BV must be able to execute its contract with you.
As a client, you make use of our services or purchase our products. To ensure the proper execution of our agreement, we must process and manage these contracts administratively, accounting-wise, and operationally. This also applies if you are a supplier of Avonture D. Management BV. In that case too, we must respect the contract and process and manage the supplier contracts administratively, accounting-wise, and operationally.
3.3 Avonture D. Management BV must be able to function as a company with regard to Direct Marketing and communication.
As a commercial company, we have a number of legitimate interests that form the basis for the processing of personal data. In doing so, we ensure that there is a proper balance between your right to privacy and the legitimate interests of Avonture D. Management BV. Should you still have objections to the processing under this legal basis, you may submit an objection to these processing activities.
Avonture D. Management BV wishes to continue communicating with you, as an existing customer or active prospect, via direct marketing. This may be at your specific request, or we may suspect that you are interested in our new products/services. Given that our goal is to continuously offer you better service and better products, and we wish to communicate this to you, we process your personal data for direct marketing purposes based on the legitimate interest of our company to conduct business. This information may reach you in various ways, namely by email, post, telephone, and at events. We choose the most suitable channel that disturbs you as little as possible. Should you nevertheless not wish to receive our commercial communications, you can simply let us know and we will no longer bother you. You can do this for all our communications or for one of the various channels.
3.4 Avonture D. Management BV has your permission
We request permission to send newsletters and to store your contact details (name, first name, address, email address, telephone number) in our marketing platform so that we can automatically provide you with information about our services in which you have shown interest.
When you visit our website for the first time, we ask for your consent via our cookie banner to place our statistical, marketing, and social media cookies. 4. What data do we process from you and for what purposes?
4.1 From our business relations
Business relationships include our customers and suppliers.
Avonture D. Management BV processes the personal data of data subjects employed by companies with which it does business. The purpose of this processing is to provide information about the products and services and to maintain business relationships.
To contact and identify you, and for our customer and supplier management, we process the following data: Name, first name, address, gender, telephone number, mobile number, email address, IP address, cookies, bank account number, VAT number.
4.2 From our prospects
Our potential new clients are interested in digital marketing services and training courses on this subject. Avonture D. Management BV is a specialist in this field. Avonture D. Management BV therefore wishes to keep them informed about these products/services. To communicate with them, we process the following personal data: name, first name, address, telephone and/or mobile number, email address, IP address, and cookies. Avonture D. Management BV also uses Leadinfo to contact potential new clients.
4.3 Cookies
Avonture D. Management BV uses cookies on the website www.mentalcoaching.be. These are small information files that are stored on the device you use to visit our website, such as a computer, tablet, or smartphone, when you visit the website. Where we refer to “cookies” below, we also mean other similar technologies. Cookies make it possible to recognize your web browser. This is useful because, for example, you do not have to repeatedly enter your details, indicate preferences, or adjust your settings. In this way, we can also improve the functioning of our website, gain insight into visitor behavior on the website, and allow other parties to gain insight into your browsing behavior so that they can display personalized advertisements across multiple websites and filter out irrelevant advertisements.
Cookies do not compromise the security of your computer. We use functional, analytical, marketing, and social media cookies. With the exception of functional cookies (necessary for the proper functioning of our website), we ask for your permission before placing these small information files. 4.4 Images from surveillance cameras are temporarily stored
We may use cameras in and around our buildings. When it comes to surveillance cameras, we comply with legal regulations. You can recognize buildings under camera surveillance by a clearly visible sticker.
Video recordings are stored for a maximum of 30 days. Exceptions to this are:
• if the recorded images are useful for providing evidence of a crime or nuisance
• to prove damages
• to identify a perpetrator, a witness, or a victim
5. About sharing and storing your data
5.1 Who do we share your personal data with?
We only share your data with individuals who have explicitly received our authorization, and only if they need this data to perform their tasks. These individuals will process your data on the same legal basis as we received it from you.
For the processing of personal data, we rely on various processors. These are our subcontractors who process personal data on our behalf. Avonture D. Management BV only works with processors who guarantee the same level of technical and operational security.
Your data may be transferred to countries outside the European Union, particularly when we work with platforms such as Facebook, Google, or LinkedIn. In such cases, we ensure that the processing of personal data is adequately protected in accordance with specific contractual obligations and applicable privacy legislation.
We will only share your data further if required to do so by law or by a governmental order.
5.2 Avonture D. Management BV does not sell your personal data
We do not sell, rent, or otherwise share your personal data with third parties for their own use.
5.3 We do not retain your data indefinitely
Avonture D. Management BV processes your personal data for clearly defined purposes. Once these purposes have been achieved, the data is deleted. The retention of your personal data is based on legally required retention periods.
Personal data of potential customers (prospects) is initially retained for 2 years. If there is contact between the prospect and Avonture D. Management BV during this period, a new 2-year period starts from that moment.
Personal data of existing customers, suppliers, and subcontractors is initially retained for 7 years. If there is new contact during this period, a new 7-year period starts from that moment.
